Executive Administrative Assistant
**WyndhamVacation Ownership** is
currently seeking an **Executive Administrative Assistant** , the "right
hand person" to the **Senior Vice President, Operations.** Executive
Assistant (EA) will assist SVP Operations' direct management team, located at
our corporate offices. The job function is straightforward and is a truly
dedicated support role. The environment is fun, friendly and also fast paced
requiring the ability to remain focused and organized under pressure.

EA must demonstrate a professional, positive and approachable demeanor and is
comfortable working in a fast paced highly matrixed environment, where
flexibility and adaptability are of the utmost importance. Must remain calm
under pressure and remain focused and well organized. Will be required to
collaborate and successfully partner with other department EA's as necessary on
various tasks and projects. He/She will organize and schedule meetings, creates
agendas and pre-meeting packets and may plan and manage large meetings and
events throughout the year. Will type, format and proofread a variety of
materials including correspondence, memos, reports, charts, statistics, and
minutes of meetings.

EA will prioritize and handle internal and external correspondence; maintain
daily and long-term calendars by coordinating meetings and preparing any
related materials; make travel arrangements; conduct research and prepare
reports; oversee and keep track of projects; professionally screen incoming
calls and handle all incoming and outgoing mail; and maintain all necessary
files and reports.

Supporting an executive within an Operations department requires the
individual who demonstrates the ability to work under pressure, exercise proper
discretion and judgement regarding business matters and handles all
confidential matters appropriately with tact and sensitivity.


+ Compiles/verifies all traveland incentive related receipts and tallies expense reports for finalsign-off. Performs expense reconciliation, as needed communicating withnumerous sources to solve disputed in timely manner

+ Coordinates travel arrangementsincluding travel itineraries, and agendas. As needed, sets up travelprofiles using corporate travel program and coordinate travel options incoordination with Corporate Travel arrangements

+ Ensure all writtencommunication with senior level executives are well written, grammar free,accurate and thorough (transparent and discreet as required)

+ Compose, draft and assist withPowerPoint presentations and various reporting needs with high degree ofaccuracy. Ability to format and navigate excel worksheets.

+ Assist in preparation andorganization of conferences, HR events, and various leadership/teammeetings

+ Screen telephone calls and/orvisitors, arrange meetings and conference calls

+ Organize and plan outlookcalendars keeping leadership informed of changes when they occur

+ Book domestic and internationaltravel, process expense reports and reconciliation and coding of invoices

+ Ensure files, records andinformation are well organized and maintaining confidentiality at alltimes

+ Respond to emails from vendors,partners and senior leaders within the organization, associates, etc.

+ Coordinate team activities andevents

+ Performs miscellaneous tasks,projects, and assignments as needed


+ High school diploma or GEDrequired

+ BA or BS degree highlypreferred

+ IAAP (International Associationof Administrative Professional) Certification, preferred


+ 5-7 yrs of experience in asimilar corporate executive administrative role supporting senior levelexecutives as well as remote leaders/teams is preferred

+ Proven experience managingcomplex calendars, schedules and all appointments and other commitments,while being proactive with potential conflicts

+ Experience with arranging andbooking domestic travels and managing expense reports

+ Hospitality or customer/serviceoriented industry is preferred


+ Strong customer service andproblem solving skills to interact with all levels - from first lineemployees to executives and customers

+ Excellent written and oralcommunications skills

+ Operate professionally and witha high degree of ethics; ability to maintain confidentiality at all timesand without exception

+ Ability to read, listen andcommunicate effectively in writing, using correct grammar, spelling, andsentence structure

+ Ability to handling delicateand sensitive internal and external situations with empathy, patience,tact, and diplomacy

+ Strong follow through,prioritization and time management abilities

+ Ability to build relationshipsat all levels within the organization and successfully partner with theadministrative and executive assistants across the enterprise

+ Flexibility to multi-task,while maintaining ability to be detail oriented

+ Professional demeanor to allthose he/she comes in contact with (both inside and outside of theorganization)

+ Ability to stand ground, whilebeing approachable

+ The desire to perform tasks ata level that is better than expected

+ Intuitive and possess a quietconfidence

+ Must be capable ofmulti-tasking with ease in a fast paced environment


+ Fully proficient with MicrosoftOffice tools, e.g. Outlook, Word, Excel and PowerPoint

+ High level of comfort withlearning new systems and tools. Experience with Concur, Oracle, Successfactors and other various HR technologies is preferred
